NEW THIS YEAR! – You asked and we listened! For the second time, the Exhibitor Showcase will feature 10x10 booths. Don’t wait! These are sure to sell fast!

The EGSA Fall Conference draws representatives from the top manufacturers, distributors and consultants that make up the On-Site Power Industry. Our Exhibitor Showcase is an excellent way for companies to display new products, services and technology to your industry leaders. Exhibition hours (see the schedule) are spread out over the course of the Conference to ensure companies get maximum "face time" with show attendees.

Manufacturers, Manufacturer’s Reps, Consultants or any company that offers a product or service to Distributor/Dealers are encouraged to exhibit in the Showcase. Here, they will interact with Distributor/Dealers, Manufacturer’s Reps and Consultants who are interested in On-Site Power products and services.

In order to exhibit in the Fall Conference Exhibitor Showcase, you must be a registered Conference attendee.  This includes ALL booth staff.

  • Please be sure to download the Freeman Exhibitor Info Packet below.
  • IMPORTANT: If you do not use freeman and decide to ship directly to the hotel, please be aware you will have to pick-up your package at FedEx and bring it to your table/booth on your own or have FedEx deliver it for a fee. Freeman will only move packages shipped with Freeman.

  • Listing in Conference Program Book (table top/booth registration must be received by August 5, 2018 in order to be included in the Conference Show Program)

Rules and Regulations:

  • Tabletop and booth assignments are on a first come, first placed basis;
  • Full payment must accompany registration before table will be assigned;
  • If you purchase a Tabletop Display, only tabletop displays are permitted; No backdrops or displays that stand on the floor will be permitted. Literature, samples and giveaways must fit on the tabletop. No items of any kind are permitted on the floor, next to or in front of your table;
  • Move-Out – All exhibitor materials must be removed from the exhibit hall by Tuesday, September 25th at 6:00 p.m. To ensure all exhibitor materials are removed, please have all boxes labeled.

Shipping & Receiving

Freeman Nashville will be utilized for all of your exhibiting needs. All packages can be sent directly through Freeman, following the labeling instructions below. Please be sure to download the Freeman Shipping Form  for rates and deadlines. You may also ship directly to the FedEx Office on-site at Gaylord Opryland, however you will be responsible for picking up your packing and bringing it to exhibit hall, or arranging for FedEx to deliver to your booth.

Freeman will hold packages starting August 24, 2018 and up to September 22nd, when everything will be transported to the resort. Please note: Any shipment received after September 17th is subject to a late charge. Should you need to have something sent on or after September 23rd, please send directly to the hotel with the instructions below:

Shipping Out:

IMPORTANT! Whether you ship via Freeman or your own method, you will have to fill out a Freeman Material Handling Agreement stating how items will be shipped out. Freeman Exhibitor Services will also be onsite with the forms and to answer any questions during move-in/out. 

When Shipping out Materials from the Hotel, each Exhibitor will be responsible for his or her packages. Each Exhibitor must have their own items boxed and labeled with the appropriate FedEx or UPS shipping labels attached in order to ship packages. Any and all costs and fees associated with shipping and receiving are your responsibility, and are subject to change without notice to EGSA. 

Please be sure to have your FedEx or UPS account number handy in case you need extra labels. FedEx labels can be picked up at the FedEx office on-site at the hotel, and UPS labels can be printed at the business center.

You may leave taped and labeled boxes only by your booth/table with the completed Material Handling Agreement at the conclusion of the show, and Freeman personnel will move them to the shipping area.


FedEx Office Print & Ship Center in Gaylord Opryland Resort and Convention Center offers you everything you need for shipping and receiving. All guest and event packages being shipped to the hotel must follow the address label standards (illustrated below) to prevent package routing delays. Please schedule your shipment(s) to arrive 3-4 days prior to the event start date to avoid additional storage fees. Use the name of the recipient who will be on-site to receive and sign for the packages(s). Shipments are held for a limited amount of days. If a package has not been picked up and no contact information is provided, the package will be returned to the sender, who will be responsible for any additional shipping fees. For more information on package retention, the Return to Sender process, or the schedule package deliveries, please contact the FedEx Office Business Center at (615) 391-0381. Package deliveries should only be schedule after the recipient has checked into the hotel.

  • Shipments are limited to no sooner than two (4) business days from the first day of the event (Friday, September 21st Shipments received earlier than this time may be subject to a storage fee.
  • Special arrangements must be made for receiving any equipment, goods, displays or other materials being delivered or brought into the hotel. Failure to do this may result in deliveries being refused or materials being unavailable when required.
  • Hotel receiving entrance is open from 6:00am until 9:00pm Monday through Sunday.

*For inbound/outbound pallets or crates, the receiving charges are consolidated into a single fee of $A0.75/lb. ($150.00 minimum), which is applied to each pallet/crate handled. A labor fee of $70.00 per hour will apply for breaking down pallets, building pallets, or excessive package handling/moving due to a customer’s request.

** No handling fees will be charged for outbound packages weighing 0-1 pound that are brought to the FedEx Office Business Center by a guest. 

Cancellation Policy:

All cancellation requests must be made in writing. Full refunds will be granted until Wednesday, August 15, 2018 at 5:00 p.m. (EST). A fifty percent (50%) refund will be granted until Friday, August 24, 2018. No refunds or credits toward future conferences will be granted after August 24, 2018. All refunds will be issued after the Conference. Confirmed attendees or exhibitors who do not attend the Conference will not be issued refunds or credit towards future conferences.
