NEW THIS YEAR! – You asked, we listened! The Exhibitor Showcase will be open for longer hours this year!

The EGSA Annual Spring Conference draws representatives from the top manufacturers, distributors and consultants that make up the On-Site Power Industry. Our Exhibitor Showcase is an excellent way for companies to display new products, services and technology to these industry leaders. Exhibition hours (see the schedule) are spread out over the course of the Conference to ensure companies get maximum "face time" with show attendees.

Manufacturers, Manufacturer’s Reps, Consultants, or any company that offers a product or service to Distributor/Dealers are encouraged to exhibit in the Showcase. Here, they will interact with Distributor/Dealers, Manufacturer’s Reps, and Consultants who are interested in On-Site Power products and services.

  • 10 x 10 booth space. Please note: Booths will be separated by stanchions, not pipe and drape.

Rules and Regulations:

  • Tabletop and booth assignments are on a first come, first placed basis.
  • Full payment must accompany registration before table or booth will be assigned.
  • Tabletop Exhibitors:  Only Tabletop displays are permitted; No backdrops will be permitted. You may bring a pull-up banner or other objects as long as it fits within your 6’ area. All items outside of your 6’ area will be asked to be removed.  Literature, samples and giveaways must fit on the tabletop. 

Shipping & Receiving

All guest and event packages being shipped to the hotel must follow the address label standards (illustrated below) to prevent package routing delays. Please schedule your shipment(s) to arrive 3 days prior to the event start date.  Due to limited storage space, the hotel reserves the right to refuse packages prior to this date. Use the name of the recipient who will be on-site to receive and sign for the package(s). Shipments are held for a limited number of days. If a package has not been picked up and no contact information is provided, the package will be returned to the sender, who will be responsible for all additional shipping fees.

Package Handling Fees


Flat Envelopes No Charge 

Boxes $75/exhibitor with boxes up to 50 lbs.*
Pallet $150.00 ea.*

*All charges are subject to 6.75% sales tax.  Charges may be applied to your guest room at the hotel.

The Day of Exhibits

All exhibitor materials received will be stored in the package room until the morning of the exhibits/setup. Boxes or crates that need to be saved for use after the exhibits may store them behind their booth or under their table. 

When shipping materials out from the hotel, please have your shipping labels and account number printed and taped onto your packages. Convention services will pick up clearly labeled packages and ship them out for you. There is NO FedEx/Kinkos/UPS on property at this hotel, so please be sure to bring everything you need. 
             
IF YOU ARE NOT A REGISTERED GUEST, WITH A SLEEPING ROOM RESERVATION, HYATT REGENCY LOST PINES RESORT & SPA WILL REFUSE RECEIPT OF YOUR PACKAGE. Please do not send care of EGSA, EGSA Staff or EGSA office as we are aware of the boxes we ship directly from the office and will not approve receipt of unknown packages. If you have chosen to stay at a hotel other than the host hotel, you must ship any packages to that location and bring on your own to set up.

IMPORTANT:


  • It is imperative to have your tracking number to locate missing packages.
  • Your assigned table will be clearly marked with your company name and number.
  • If you cannot locate your package there will be an attendant from the hotel on hand to assist.
  • All packages should be clearly marked with a return address. All boxes can be stored complimentary for up to 3 business days prior to the event start date. Three days prior is Thursday, February 28, 2019.

Shipping Out:


IMPORTANT! When Shipping out Materials from the Hotel, Each Exhibitor will be responsible for his or her packages. Each Exhibitor must have their own shipping labels and/or FedEx/UPS Account number in order to ship packages. Any and all costs and fees associated with shipping and receiving are your responsibility, and are subject to change without notice to EGSA. 


Please be sure to have your FedEx or UPS account number handy in case you need extra labels. Please be aware there is no FedEx or UPS on-site, so if you need to print labels it will need to be done in the business center of front desk of hotel. 


You may leave taped and labeled boxes by your table at the conclusion of the show, and hotel personnel will move them to the shipping area.  Please contact (512) 308-1234 with shipping inquiries.

Cancellation Policy 

All Cancellations must be made in writing. Full refunds will be granted until Thursday, February 7, 2019 at 5:00 p.m. (EST). A fifty percent (50%) refund will be granted until Thursday, February 14, 2019. No refunds or credits toward future conferences will be granted after February 14, 2019. All refunds will be issued after the Conference. Confirmed attendees or exhibitors who do not attend the Conference will not be issued refunds or credit towards future conferences.

Exhibitor Showcase Registration Instructions
  1. Click on the Registration image below (you will be redirected to the EGSA database at 123Signup.com to complete your registration) and type your email address.  Please make sure the booth is in the name of the person who will be attending the conference and setting up the booth.

  2. Once the booth space is secured, register for the conference.  Each person working the booth must be registered for the full conference.  


If you are a member but are only seeing non-member pricing when you try to register there are a few possible reasons:

  1. Your company's 2019 membership has not been renewed.  Search the Membership Directory - if your company name does not appear it means that the membership is not renewed.  Please contact Debby Robinson to make a payment.

  2. If your company appears in the Directory, then you have to be added to the employee list or your email address does not match our records - contact us to get added.
